The Physician Agency ("we," "us") runs physicianagency.co. This page explains what we collect when you use the site, what we do with it, and the choices you have. Questions: ethan@physicianagency.co.
What we collect
When you request a free guide. Your email address, your first name if you give it, the guides you pick, your consent choice, and the date and time of the request.
When you contact us. Whatever you include in your message, such as your name, email address and the details you share about your situation or contract.
Professional details. If you agreed to follow-up, we keep your contact details in our customer relationship management (CRM) software and may add publicly available professional information, such as your specialty, practice or employer, from a business data provider (Apollo.io) so our follow-up is relevant to you.
When you book a call. Bookings go through Calendly. Calendly collects the details you enter there under its own privacy policy, and we receive your name, email and the time you booked.
When you browse the site. Our website host, Squarespace, records basic visit information such as pages viewed, approximate location, device and browser type, and how you arrived. It uses a small number of cookies to do this. Our forms use Google reCAPTCHA to block spam, which collects information about your browser and activity on the page under Google's privacy policy.
We do not ask for, and ask you not to send through our forms, Social Security numbers, financial account numbers or health information.
How we use it
- To email you the guides you asked for.
- To follow up by email about our contract education and contract review services, if you agreed to that on the form. These emails are sent through Constant Contact, and every one tells you how to opt out.
- To answer your questions and schedule calls you request.
- To understand which guides and pages are useful, and to improve the site.
- To keep the site and our forms secure and free of spam.
What we don't do
We do not sell or rent your personal information. We do not share it with anyone for their own marketing.
Who helps us run things
We use a few service providers who handle information only to provide their service to us:
- Squarespace: Hosts the website and its forms
- Google: Stores form submissions in Google Sheets; provides reCAPTCHA
- Resend: Delivers the guide emails
- Calendly: Handles call bookings
- Constant Contact: Sends our follow-up and newsletter emails
- Apollo.io: Business data and outreach tools that help us keep contact records accurate
- CRM software: Keeps a record of our contacts and conversations
We may also share information if the law requires it, to protect our rights or someone's safety, or as part of a sale or reorganization of the business.
How long we keep it
We keep guide requests and contact messages as long as they are useful for the purposes above, generally no longer than three years after your last contact with us. You can ask us to delete them sooner.
Your choices
- Stop follow-up emails. Reply to any of our emails and ask to be removed, or email ethan@physicianagency.co. We act on opt-out requests within 10 business days.
- See, correct or delete your information. Email ethan@physicianagency.co. We will respond within 30 days.
- Cookies. You can block or delete cookies in your browser settings. The site still works without them.
Depending on where you live, you may have additional rights under your state's privacy law. Contact us and we will honor the rights that apply to you.
Children
This site is for physicians and the professionals who work with them. It is not directed to anyone under 18, and we do not knowingly collect information from children.
Security
We use reputable providers and limit who can access submissions. No method of storing or sending information online is completely secure, so please do not send us anything you would not want stored by email.
Changes
If we change this policy, we will post the new version here with a new effective date.
